Cancellations & Refund Policy
Absolutely. This is the version I'd put directly on the Access Okanagan Cancellation & Refund Policy page. It matches the Terms & Conditions we just created.

At Access Okanagan, many of our tours, events and experiences are specially curated and involve advance commitments to transportation providers, venues, restaurants, wineries, boat operators and other experience partners.
The following policy applies unless different cancellation or refund terms are clearly stated for a specific tour, event, ticket or experience at the time of booking.
1. Standard Cancellation Policy
For standard tours and experiences:
7 days or more before the scheduled experience
Guests are eligible for a 100% refund of the amount paid.
Between 72 hours and 7 days before the scheduled experience
Guests are eligible for a 50% refund of the amount paid.
Less than 72 hours before the scheduled experience
The booking is non-refundable.
No-shows
No refund will be provided.
Cancellation deadlines are calculated from the scheduled start time of the experience.
2. Special Events & Limited-Capacity Experiences
Certain events and experiences may have different cancellation conditions because Access Okanagan must make advance commitments to participating suppliers.
These may include:
- private or exclusive experiences;
- dining events;
- lake cruises and boating experiences;
- concerts and entertainment;
- limited-capacity events;
- specially ticketed experiences;
- experiences requiring advance food, beverage or venue commitments; and
- other experiences identified as having special booking conditions.
Where different cancellation conditions apply, those conditions will be clearly disclosed as part of the applicable booking before purchase and will take precedence over this standard cancellation policy.
3. Non-Refundable Tickets
Certain tickets or experiences may be designated Final Sale or Non-Refundable.
Where this applies, it will be clearly disclosed before the customer completes the purchase.
This does not affect any cancellation or refund rights that cannot legally be waived under applicable law.
4. Minimum Guest Requirements
Some Access Okanagan tours, events and experiences require a minimum number of participants to operate.
Any applicable minimum participation requirement may be identified in the experience description or booking conditions.
If the minimum number of participants is not reached, Access Okanagan may cancel the experience or offer customers the opportunity to move their booking to another available date.
If Access Okanagan cancels an experience because the minimum participation requirement has not been reached, affected customers will be offered:
a full refund of the amount paid, or
the option to transfer the full amount paid to another available date or experience.
The choice will be offered to the customer where reasonably possible.
5. Cancellations by Access Okanagan
If Access Okanagan cancels an experience and cannot provide a reasonable alternative, affected customers will be entitled to a refund of the amount paid for the cancelled experience, subject to applicable law.
Where appropriate, customers may instead choose to transfer their booking to another available date or experience.
Access Okanagan will not require a customer to accept a credit instead of a refund where the customer is legally entitled to a refund.
6. Weather & Safety Cancellations
Some Access Okanagan experiences are dependent on weather, lake conditions, road conditions and other safety considerations.
An experience will not necessarily be cancelled because of rain, snow or other ordinary seasonal weather.
However, Access Okanagan or the applicable operator may modify, postpone or cancel an experience where conditions create a safety or operational concern.
This may include:
- unsafe lake or boating conditions;
- severe weather;
- wildfire or smoke-related restrictions;
- unsafe road conditions;
- road closures;
- government or emergency restrictions; or
- other circumstances affecting safe operation.
If Access Okanagan cancels the entire experience, customers will be offered an appropriate refund or, with the customer's agreement, an alternative date or experience, subject to applicable law and any specific booking conditions.
7. Changes Requested by Guests
We understand that plans sometimes change.
Requests to move a booking to another date should be made as early as possible.
Access Okanagan will make reasonable efforts to accommodate date changes, but changes are subject to availability and the policies and commitments of participating suppliers.
A request to reschedule does not automatically extend or avoid the applicable cancellation deadline.
Additional costs arising from a customer-requested change may be charged where disclosed and agreed to before the change is completed.
8. Late Arrivals
Guests are responsible for being at the designated meeting or pickup location at the communicated time.
Many Access Okanagan experiences involve scheduled reservations with multiple partners. As a result, we may be unable to delay an experience for late-arriving guests.
A guest who misses an experience because of their own late arrival may be considered a no-show and may not be eligible for a refund.
9. No-Shows
Failure to attend a booked experience without cancelling within the applicable cancellation period will be treated as a no-show.
No-shows are non-refundable, subject to any rights available under applicable law.
10. Partial Attendance
Guests who voluntarily leave an experience early or choose not to participate in an included portion of an experience are generally not entitled to a partial refund for unused services.
Exceptions may be considered where required by law or where Access Okanagan determines that a refund or other remedy is appropriate.
11. Supplier or Itinerary Changes
Because Access Okanagan experiences may involve multiple independent partners, it may occasionally be necessary to substitute a venue, supplier, vehicle, vessel, activity, menu item or other component.
A reasonable substitution of comparable value does not automatically constitute cancellation of the entire experience.
If a material component cannot be provided and significantly changes the nature of the purchased experience, Access Okanagan will determine an appropriate alternative, partial refund, rescheduling option or other remedy, taking into account the circumstances and applicable law.
12. Refund Processing
Approved refunds will normally be returned to the original payment method used to make the booking.
Processing times may vary depending on the payment provider and financial institution.
Access Okanagan is not responsible for processing delays caused by a customer's bank, credit-card company or payment provider after the refund has been submitted.
13. Third-Party Costs
Unless required by applicable law, Access Okanagan is not responsible for expenses a customer incurs independently in connection with an experience, such as accommodation, flights or other transportation not purchased from Access Okanagan.
Guests travelling specifically to attend an experience should consider appropriate travel insurance where applicable.
14. Consumer Rights
Nothing in this Cancellation & Refund Policy is intended to exclude, restrict or replace any cancellation, refund or other consumer rights that cannot legally be waived under the laws of British Columbia or Canada.
Where applicable law provides a customer with greater rights than this policy, the applicable legal requirements will govern.
